Retention Policy

Original tapes and other physical media are not stored indefinitely.

This policy explains pickup and return expectations after a project is complete, plus how physical original media is treated separately from completed digital files.

Original Media Pickup, Return, and 90-Day Retention

Past Forward Convert will notify the customer when the project and original media are ready for pickup, return shipment, or another agreed delivery method.

Unless a different written arrangement has been approved, customers must retrieve or arrange return of their original tapes, film, photographs, slides, negatives, audio media, storage devices, and other physical property within 90 calendar days after the first written completion or pickup notice.

If the original media remains unclaimed after the 90-day period, and the required reminder notices have been sent, the media may be considered abandoned under the customer's agreement with Past Forward Convert and may become eligible for permanent destruction or secure disposal.

Destruction is irreversible. Once original media has been destroyed, it cannot be returned or recovered.

Original media is not destroyed automatically on day 91. It becomes eligible for owner review only after the 90-day period and required notice process are complete.

Reminder Schedule

Day 0

Project-completion and pickup or return notice

Customer is told the project is complete and original media is ready for pickup, return shipment, or another agreed handoff.

Around Day 30

Friendly reminder

A warm reminder that original media remains safely stored and ready for pickup or return.

Around Day 60

Second reminder

A clearer reminder that original media must be picked up or returned within 90 days of the original completion notice.

Around Day 80

Final reminder

An urgent final reminder that unclaimed original media becomes eligible for permanent destruction after the 90-day period expires.

After Day 90

Owner review only

No automatic destruction occurs. Aaron must review the notice history, account status, any extensions, disputes, payment or shipping issues, and digital-file availability before authorizing any disposal record.

Digital File Availability and Google Drive Access

Destroying or securely disposing of unclaimed original physical media after the applicable 90-day period does not, by itself, remove the customer's completed digital files from the Past Forward Convert Google Drive delivery folder.

Past Forward Convert currently intends to keep completed customer digital files available through Google Drive on an ongoing basis so customers can continue accessing, downloading, and sharing their files.

Customers are strongly encouraged to download their files promptly and maintain at least one independent backup. Google Drive access depends on third-party technology, internet availability, account status, platform policies, storage capacity, security, and other circumstances that may be outside Past Forward Convert's control.

Past Forward Convert cannot guarantee uninterrupted or perpetual access under every possible circumstance.

Customer Acknowledgments

Original media

I understand that I must pick up my original media or arrange for its return within 90 calendar days after Past Forward Convert first notifies me that my project is complete and ready. If I do not retrieve or arrange return of the media within that period, and the required reminder notices have been sent, my original physical media may be considered abandoned and may be permanently destroyed or securely disposed of. I understand that destruction is irreversible.

Digital files

I understand that Past Forward Convert currently intends to maintain my completed digital files through Google Drive on an ongoing basis, even if unclaimed original media is later destroyed. I also understand that third-party cloud access cannot be guaranteed forever, and I am responsible for downloading and maintaining my own backup copies.
